ICE really needs to make $3,000 from performance on the 21st. Which means the theater needs to be filled (250 seats), with tickets costing $15. Red Lion donated hotel rooms for RDT, and are co-sponsoring the event. Jeannie put requisition through, so RDT will be paid when they are supposed to be (no later than Oct. 21, 2009). Yong updated Committee on school district hosting RDT. She still has not heard from Antoinette Cavanaugh. Should she give Antoinette a deadline to respond? Charter school is really interested in having RDT. Charter school has about 250 students, so feasible to include all students. Committee decided to have Yong give Antoinette until Tuesday, September 29th to respond. Movement classes held on Tuesday at 4pm, needs to have some type of pre-registration or R.S.V.P so that 75 students dont show up, or only 2. Ask Jeanne Long if she is willing to take R.S.V.Ps (through Friday, October 16th). Presale of tickets to performance? Yong will sell tickets at her studio and Jeannie will see if the Controllers Office at GBC will sell tickets. Big question: What kind of publicity to get the word out? ICE account does not have a lot of money for advertising so everyone needs to get creative with ideas. Mary suggested  HYPERLINK "http://www.craigslist.com" www.craigslist.com because they now have an Elko section. Yong suggested the Elko Listings, both are free and would get the word out. Jeannies student worker, Katie will work on getting a Facebook page for ICE together and will try to friend as many GBC students as possible. Jeannie suggested sending a mass email out to GBC to find ICE on Facebook. Talk to Lori Gilbert about getting a news story before event. Linda Smith, executive director of RDT needs to be asked first. See if Lori could go to Yongs studio Monday, October 21st from 4pm-7pm to interview RDT to promote performance. Jeannie will contact Linda Smith to see if she can get some photos for posters, fliers and a possible story in the Free Press. Wyoming suggested sending pictures on electronic files with information for Free Press, more likely they will publish story. Karen will talk to Cynthia at the Free Press. ICE will have to pay for posters, fliers and programs for performance. Wyoming suggested giving tickets to the local radio stations to give away as prizes, free advertising of event. 6 radio stations, 2 each which would be 12 tickets to be given away. Committee was discussing giving the Red Lion free tickets, but decided giving them to the radio stations would get the word out and put the tickets to better use. Mardell suggested that the committee send Red Lion a nice thank you letter instead. Jeannie brought up that ICE still needs volunteers to help with 10/21/09 rehearsal, performance, cleanup, ushering, ticket takers, and helpers to hand out programs. Rehearsal at 2pm Wednesday? Committee decided they need 4 stage hands, 4 door people, and 1 ticket seller. If selling refreshments, volunteer needed for that. Jeannie will ask Xavier if he wants to sell at event. If he does not, ICE could get refreshments to sell and make money. Yong will look into refreshments. Also, Jeannie suggested providing dancers with water, juice, fruit, etc. She suggested asking Mike McFarlane for funding for this. Dancers may need help steaming/pressing costumes, stage hand to help with this? The GBC Foundation has given a large donation to ICE again this year, so the Committee decided it would send a formal thank you. Also, formal invitations/emails will be sent to Foundation board members. Get invitation copy to Joyce Shaw to make. Mardell will check into what might be included in the Foundations newsletter and what the deadline is. Lynne will start a draft of thank you letter to Foundation. This should be done as soon as possible, so it can get into the Foundation newsletter. A suggestion to sell advertising in programs to make money for ICE account was made. Committee decided it was too late to do this for RDT, but great idea for future events. Chamber of Commerce Business After Hours, announce events in the future. Newsletter for Chamber of Commerce, in the future see if ICE can get a story in there. Jeannie will get press packets by next Thursday, October 1st- Rick Nobis. Jeannie will send people in ICE database invitations. Evaluation needs to be given for Nevada Arts Council Grant. A suggestion was made to put this in the program, or as part of the program. Whoever announces RDT at the beginning can tell ask audience to fill out evaluation. Mary will help collate data from evaluations. A suggestion was made to have a card for interested participants to fill out name, address, email for future events. For next meeting: Assign or volunteer for jobs that need to be done. Yong will let Committee know if School District or Charter school is participating. Have draft of flier or poster? Lynne will talk with Lori for the TV interview, report.
